Job Summary
The Driver Orientation Coordinator is responsible for coordinating all activities associated with driver orientation at the Laredo terminal. This position works closely with Safety, Processing, Human Resources, Recruiting, Operations, and Driver Training and Development to ensure each new hire, rehire, or returning driver receives seamless, organized, compliant, and professional orientation experience. The Driver Orientation Coordinator oversees the daily flow of orientation, resolves scheduling and documentation issues, communicates driver status to the appropriate departments, and is fully prepared to backfill the Driver Orientation Instructor when needed.
Responsibilities
- Plan and coordinate the daily driver-orientation schedule, materials, rooms, equipment, testing, meals, transportation, and other logistical needs at the Laredo terminal.
- Serve as the primary point of contact for drivers attending orientation and ensures clear communication before arrival, throughout orientation, and through completion of the hiring process.
- Coordinate with Safety to confirm required safety instruction, Department of Transportation requirements, drug-testing status, qualification reviews, policy updates, and completion of safety-related records. When needed, serves as a trained and authorized backup for collecting drug-test specimens in accordance with Safety procedures, company policy, and applicable regulatory requirements.
- Coordinate with Processing and Recruiting to review each driver's application status, identify pending items, collect and route required documents, and communicate issues requiring immediate attention.
- Support the Processing department during orientation by helping identify and collect missing driver documents, including copies of the driver's CDL, Social Security card, and medical card, and by assisting with the transmission and routing of documentation needed to complete the driver's file.
- Coordinate with Human Resources regarding employment documentation, onboarding requirements, policies, benefits information, employee questions, and escalated onboarding concerns.
- Maintain an accurate daily roster and tracks attendance, testing, required documents, completion status, delays, exceptions, and final disposition for each driver.
- Lead cross-department check-ins and promptly escalates missing documentation, qualification concerns, scheduling conflicts, conduct issues, job refusals, or other barriers to completion.
- Ensure drivers receive consistent, timely, and professional service and understand the next step in the orientation and hiring process.
- Review orientation results and driver feedback, identifies process gaps, and recommends improvements to reduce delays and improve the driver’s experience.
- Maintain adequate supplies, current forms, training aids, system access, and contingency plans for orientation operations.
- Provide regular status updates and performance metrics to management, including attendance, completion rates, pending cases, recurring issues, and corrective actions.
- May supervise, schedule, coach, and provide day-to-day directions to orientation instructors, clerks, or other assigned support personnel.
Qualifications
- High school diploma or equivalent required; associate or bachelor's degree in business, transportation, safety, human resources, training, or a related field preferred.
- Three or more years of experience in transportation, driver recruiting, driver qualification, safety, training, human resources, or operations preferred.
- At least one year of leadership, supervisory, team-lead, or process-coordination experience preferred.
- Working knowledge of driver onboarding, DOT-regulated qualification processes, and confidential record handling.
- Ability to learn and perform the Driver Orientation Instructor role and assigned processor duties.
- Proficiency with Microsoft Office Suite and related recruiting, driver-qualification, learning, and transportation systems; experience with industry-specific transportation and compliance platforms is preferred.
- Excellent verbal, written, presentation, customer-service, and cross-functional communication skills.
