The Compliance Coordinator is responsible for accurately processing driver qualification files in addition to assisting with company Drug & Alcohol programs to ensure compliance with FMCSA regulations, company policy and company Driver Qualification guidelines. The Compliance Coordinator is also responsible for completing DOT Verification for current and prior employees and assisting in the onboarding process by clearing drivers with insurance and processing terminal access paperwork.
Responsibilities:
- Ensure compliance with the daily driver file compliance programs, including but not limited to: Annual and self-certification MVR Reviews, Annual Driving Record, License and physicals, MVR monitoring services, etc.
- Prepare Nevada Transporter and Oregon Tax Miles Report monthly.
- Sending notifications for DOT Annual Inspections and VTC for the month to the Fleet Manager and Lead Mechanic.
- Preparing checklist for trucks and tankers and WDT Quarterly report.
- Process renewals including, but are not limited to: IRP Registration, WDT Permit, SCAC Code, CA Hazmat, Nevada Business License, Nevada Transporter License, Maricopa, UCR, and Truck / Tanker files.
- Annual registration for all Service Trucks.
- COI (Certificate of Insurance) for units, terminals, and brokers.
- Prepare onboarding paperwork and files for new drivers, which includes sending documents for insurance clearance and terminal access paperwork for fuel drivers.
- Run MVR’s and PSP for new drivers.
- Responsible for completing previous employee verifications for new and past drivers.
- Registration for Owner Operators and Bobtails, as needed.
- Sending VTC docs to all terminals when completed.
- Entry of DOT Inspections and Citations paperwork.
- Create Key Performance Indicators (KPI) that measure the accuracy, effectiveness, and completeness of required processes and drive root cause corrective action as needed.
Qualifications:
- High school diploma or possession of an acceptable equivalency diploma.
- Minimum 1 year of previous industry experience; Safety and/or Compliance, preferred.
- Maintain confidentiality.
- Basic knowledge of DOT and FMCSA regulations.
- Ability to effectively work within record software and update files accurately.
- Excellent organizational and analytical skills.
- Ability to partner with individuals in various managerial roles and maintain positive interpersonal relationships.
- Must have good communication skills.
- Ability to remain flexible in a dynamic, growing work environment.
- Ability to read, write and speak in English fluently.
- Strong oral and written communication skills and ability to communicate efficiently with external & internal customers.
